Job Title: Shipping Manager

Job Summary
The Shipping Manager is responsible for managing and overseeing the importation, transportation, and delivery of wine, spirits, and related products for the company. This role ensures that all shipments are delivered efficiently, on time, and in compliance with both local and international shipping regulations. The Shipping Manager will collaborate with various stakeholders, including customs authorities, freight forwarders, suppliers, and internal teams, to ensure smooth and cost-effective shipping operations that meet the company’s logistical and customer service requirements.
Key Responsibilities
Shipping Operations:
- Oversee and manage all shipping and transportation activities related to the importation of wine, spirits, and other related products.
- Coordinate shipment schedules with suppliers, freight forwarders, and carriers to ensure on-time delivery.
- Track shipments, monitor delivery statuses, and resolve any issues or delays that arise during transit.
- Ensure the correct labelling, packaging, and documentation for all shipments as required by Kenyan customs and international regulations.
Customs Compliance and Documentation:
- Ensure compliance with Kenyan and international import/export regulations, including proper customs documentation and payment of duties.
- Collaborate with customs brokers and regulatory authorities to ensure shipments are cleared efficiently through customs.
- Prepare and maintain all necessary shipping documents, including commercial invoices, packing lists, certificates of origin, and import/export declarations.
- Stay updated on any changes in customs regulations, tariffs, or duties, particularly in relation to wine and spirits imports.
Logistics Optimization and Cost Control:
- Optimize shipping routes and methods to minimize costs while ensuring timely delivery of goods.
- Negotiate favourable terms and rates with freight forwarders, shipping carriers, and other logistics partners.
- Monitor shipping costs and identify opportunities for cost reduction, improving overall logistics efficiency and profitability.
- Assess and evaluate the performance of logistics partners, identifying areas for improvement in cost, service, and delivery timelines.
Forecasting and Procurement:
- Forecast stock requirements for DWS (Domestic Wine & Spirits) based on Year-To-Date (YTD) sales.
- Place orders with wine and spirit partners based on forecasted requirements.
- Devise and implement best practice sourcing strategies to ensure the timely availability of
stock.
Supplier Management:
- Negotiate with all external suppliers to secure advantageous terms and maintain strong supplier relationships.
- Review and update existing contracts to ensure favourable terms and compliance with company standards.
Team Management and Leadership:
- Supervise and manage a team of shipping staff, providing direction, support, and training as needed.
- Foster a culture of teamwork and high performance, ensuring that staff are motivated and adhere to best practices and company policies.
- Conduct regular performance reviews and provide constructive feedback to improve staff performance and operational efficiency.
Customer Service and Communication:
- Ensure effective communication with customers regarding shipment statuses, delays, and any arising issues.
- Resolve customer complaints or concerns related to shipping and delivery promptly, ensuring high customer satisfaction.
- Provide accurate and timely shipping reports to senior management, detailing shipment tracking, delays, and cost analysis.
Risk Management and Problem Solving:
- Monitor and mitigate risks related to shipping, such as delays, damages, and losses.
- Address any logistical challenges quickly and efficiently to minimize disruptions to the business and ensure smooth operations.
Performance Tracking and Reporting:
- Track and report key functional metrics related to shipping and logistics, focusing on reducing expenses and improving operational effectiveness.
Key Qualifications, Experience, Skills, and Competencies
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Certification in logistics, shipping, or customs operations is an added advantage.
- Minimum of 5 years of experience in shipping, logistics, or supply chain management, preferably in the alcohol and beverage industry.
- Experience in handling international shipments, customs clearance, and logistics operations, especially in the wine and spirits importation sector.
- Familiarity with Kenyan customs regulations and import/export processes, particularly for alcoholic beverages.
- Strong understanding of shipping methods, international trade regulations, and customs procedures related to wine and spirits.
- Knowledge of specific handling and storage requirements for alcoholic beverages, including temperature-controlled shipping.
- Excellent problem-solving skills with the ability to handle unexpected delays, shipment issues, or customs clearance problems effectively.
- Strong negotiation skills to secure favourable terms with freight forwarders, carriers, and other logistics partners.
- Attention to detail in managing documentation, inventory tracking, and compliance with customs regulations.
- Excellent verbal and written communication skills to interact with internal teams, external suppliers, customs authorities, and customers.
- Proven leadership abilities, including team guidance, performance feedback, and fostering a positive, efficient working environment.
- Excellent time management and organizational skills to handle multiple shipments and deadlines effectively.
- Proficiency in using logistics software, inventory management systems, and Microsoft Office Suite (especially Excel).
- Multi-tasking and time-management skills, with the ability to prioritize tasks effectively.
- Highly organized and detail-oriented, ensuring efficient and accurate management of all logistics operations.
