Junior Accountant & Admin
Location: Nairobi
Salary: KES 30,000 – 40,000
Job Summary:
Our client is seeking a proactive and detail-oriented Junior Accountant & Admin to provide comprehensive support across accounting and administrative functions. The ideal candidate will be responsible for maintaining accurate financial records, ensuring compliance with statutory requirements, and handling day-to-day office operations to enhance organizational efficiency.
Key Responsibilities:
- Prepare and maintain financial records including ledgers, journals, and cashbooks in accordance with accounting standards.
- Manage accounts payable and receivable processes, ensuring timely invoicing, billing follow-up, and accurate reconciliation of supplier and customer accounts.
- Process all payments, including petty cash and mobile money, and ensure proper documentation and authorization for each transaction.
- Reconcile bank statements regularly and investigate any discrepancies promptly.
- Prepare and submit statutory returns (VAT, PAYE, NHIF, NSSF, and Withholding Tax) on time and maintain relevant compliance records.
- Generate periodic financial reports including trial balances, cash flow summaries, and expense analyses for management review.
- Maintain up-to-date records of inventory, procurement transactions, and office supplies to support smooth operational flow.
- Coordinate procurement processes, including sourcing quotations, preparing Local Purchase Orders (LPOs), and tracking delivery timelines.
- Provide general administrative support such as filing, managing company documentation, maintaining employee records, and ensuring all documentation is easily accessible.
- Coordinate internal meetings and schedules, and manage communication between departments and external service providers.
- Ensure the office environment is well-organized and all utilities, supplies, and equipment are functioning and accounted for.
- Support the HR function with administrative tasks such as maintaining attendance records, coordinating interviews, and compiling HR reports as requested.
Qualifications and Requirements:
- Diploma or Degree in Accounting, Finance, Business Administration, or a related discipline.
- Minimum of 1–2 years of practical experience in accounting and administrative roles.
- Proficiency in Microsoft Office tools and accounting software such as QuickBooks.
- Strong understanding of Kenyan tax laws and statutory obligations.
- Excellent organizational and communication skills with the ability to prioritize tasks and meet deadlines.
- High level of integrity, discretion, and attention to detail.
- Ability to work independently and collaboratively in a fast-paced environment.
